1. Who we are
HitZero HQ is a gym operations platform for all-star cheer gyms. This policy explains what data we collect, how we use it, and your rights. By using the Service, you agree to the practices described here.
2. Data we collect
Gym owner and staff accounts: Name, email address, organization name, and role. We collect this when you sign up or are invited to an organization.
Athlete profiles: First name, last name, date of birth, and any skill or competition data entered by authorized gym staff.
Parent and guardian information: Name, email, phone number, and payment history. This data is entered by parents during tryout registration or by gym staff.
Payment data: HitZero HQ does not store full credit card numbers or bank account details. Payment transactions are processed by our third-party payment processor. We receive confirmation of payment status, amounts, and transaction IDs.
Usage data: IP addresses, browser type, pages visited, and feature interactions. This helps us improve the platform.
3. How we use your data
We use collected data to:
- Provide, operate, and improve the Service
- Authenticate users and maintain account security
- Process subscription billing and parent tuition payments
- Send transactional emails (registration confirmations, invoices, invite codes)
- Send product updates and announcements (you can opt out at any time)
- Comply with legal obligations
4. Minor athlete data and COPPA
HitZero HQ stores profile data for minor athletes (under 18) as part of gym operations. Athlete profiles are created and managed by authorized gym staff only and are never visible to the public. We do not use minor athlete data for advertising, analytics, or any purpose other than operating the platform for the gym that entered the data.
COPPA (Children's Online Privacy Protection Act): HitZero HQ is a B2B platform — gym owners and coaches enter athlete information on behalf of the gym. We do not directly collect personal information from children under 13. Gym owners are responsible for obtaining appropriate parental consent before entering athlete data into the platform.
Parents or guardians may request review, correction, or deletion of their child's information by contacting us at hello@hitzerohq.com. We will respond within 30 days and coordinate with the gym to fulfill the request.
5. Data sharing and third parties
We do not sell your personal information. We share data only with trusted service providers who help us operate the platform (authentication, database hosting, payment processing, and email delivery), and only to the extent necessary to provide those services. All processors are contractually bound to protect your data.
We may disclose data if required by law, court order, or to protect the rights and safety of our users or the public.
6. Data retention
We retain your data for as long as your account is active. If you close your account, we will delete your data within 30 days, except where retention is required by law or for legitimate business purposes such as resolving disputes.
7. Security
We implement industry-standard security measures including encrypted data transmission (TLS), access controls, and secure credential management. No system is perfectly secure — if you believe your account has been compromised, contact us immediately.
8. Your rights
Depending on your location, you may have the right to access, correct, or delete your personal data, or to restrict or object to certain processing. To exercise any of these rights, email hello@hitzerohq.com. We will respond within 30 days.
9. Cookies
We use essential cookies for authentication and session management. We do not use third-party advertising cookies. You can control cookies through your browser settings, though disabling essential cookies may prevent you from logging in.
10. Changes to this policy
We may update this policy as the platform evolves. We will notify you by email or in-app notice at least 14 days before material changes take effect. A full policy covering FERPA-adjacent practices and additional data processor details will be published before general availability.
